01

Nature of coaching

Coaching is a collaborative process intended to support the client’s personal or professional development, clarity, decision-making and achievement of agreed goals.

The coach will provide guidance, questions, observations, exercises and accountability, but the client remains responsible for their own decisions, actions and results. No particular outcome or result can be guaranteed.

Coaching is not a substitute for medical care, psychotherapy, counselling, psychiatric treatment, legal advice, tax advice or regulated financial advice. Clients should consult an appropriately qualified professional where necessary.

02

Sessions

The length, price, number of sessions and proposed frequency of coaching will be confirmed before the coaching relationship begins.

Sessions may take place online, by telephone or in person, as agreed. Clients should attend promptly and ensure that they have a suitably private and interruption-
free environment.

If a client arrives late, the session will normally still end at the originally agreed time.

03

Payment

Payment must be made in accordance with the invoice or payment arrangement agreed at the time of booking.

Where a payment plan has been agreed, payments must be made on the agreed dates. Failure to make a payment may result in future sessions being suspended until the account is brought up to date.

Any statutory rights the client has are unaffected by these terms.

04

Cancelling or rescheduling an individual session

A client may cancel or reschedule a session by contacting the coach in writing. More than 72 hours’ notice

Where more than 72 hours’ notice is given:

A prepaid individual session will be fully refunded or rescheduled; or

Where the session forms part of a package, the session will be credited back
to the package.

Fewer than 72 hours’ notice

Where fewer than 72 hours’ notice is given:

The session fee will not normally be refunded; or

where the session forms part of a package, the session will normally be treated as having been used.

However, if the original appointment can be filled by another client, the cancelled session will be fully refunded or credited back to the client’s package.

Failure to attend without notice will be treated as a late cancellation.

These charges are intended to reflect the time reserved for the client and the loss arising when an appointment cannot be offered to somebody else. They are not intended to operate as a penalty.

05

Statutory 14-day cancellation period

Where a consumer books coaching online, by telephone or otherwise at a distance, they will generally have the legal right to cancel the coaching contract within 14 days of entering into it.

Where the client asks for coaching to begin during this 14-day period, they expressly request that the service begins before the cancellation period has ended. If they then cancel, they may be charged a reasonable proportion of the agreed price for any
coaching already provided.

Once the service has been fully provided, the right to cancel may end where the client expressly agreed to early performance and acknowledged that this would affect their cancellation right.

This statutory cancellation right is separate from the 72-hour appointment-cancellation policy above.

06

Coaching Package Duration

Coaching packages must be completed within the number of active coaching months purchased:

One-month package: 1 active coaching month

Three-month package: 3 active coaching months

Six-month package: 6 active coaching months

Twelve-month package: 12 active coaching months

August and December are not counted as active coaching months, as coaching is not normally offered during these months.

If August or December falls within a client’s coaching package, the package end date will automatically be extended so that the client still receives the full number of active coaching months purchased.

For example:

A three-month package running across August would use July, September and October as its three coaching months.

A twelve-month package starting in January would exclude August and December and would therefore normally run until the end of February the following year.

Sessions must be taken within the applicable active coaching period. Any sessions not used by the end of that period will expire and will not normally be refundable.

An extension may be considered in cases of serious illness, bereavement or other exceptional circumstances. Any extension must be agreed in writing and is not automatic.

07

August and December

Coaching is not normally available during August or December, unless expressly agreed otherwise in writing.

These months are treated as scheduled coaching breaks and do not count towards the duration of any coaching package.

08

Cancellation or postponement by the coach

If the coach needs to cancel or postpone a session, the client will be offered an alternative appointment.

Where a suitable alternative cannot be agreed, the client will receive:

A full refund for the affected individual session; or

A credit back to their coaching package.

The coach will not be responsible for indirect losses caused by a session being postponed, except where liability cannot legally be excluded.

09

Ending a coaching package early

Coaching packages are sold as fixed-term programmes. By purchasing a package, the client is committing to the full programme rather than purchasing individual sessions on a pay-as-you-go basis.

Where payment is made by instalments, the instalment arrangement is a method of paying the agreed programme fee and does not make the programme a monthly cancel-at-any-time subscription.

Following the expiry of any applicable statutory cancellation period, a client who chooses to stop or withdraw from the programme because of a change of mind, change of circumstances, lack of availability or a decision not to continue will not normally be entitled to a refund of fees already paid.

Where the client is paying by instalments and ends the programme early, any amount remaining payable will be dealt with in accordance with these Terms and applicable consumer law, taking account of the services already provided, resources and coaching capacity committed to the client, costs reasonably incurred and any loss that can reasonably be avoided.

In cases of serious illness, bereavement or other exceptional circumstances, the coach may, at their discretion, offer a pause, extension, transfer, credit or partial refund.

If the coach ends the programme for reasons that are not attributable to the client and is unable to provide the remaining coaching, the client will receive an appropriate refund for services that will not be provided.

The coach may end or suspend coaching where:

Fees remain unpaid

The client repeatedly misses or cancels sessions

The coach believes that coaching is no longer appropriate or beneficial

The client behaves abusively, threateningly or inappropriately; or

Continuing the relationship would create a professional, ethical or safeguarding concern.

Nothing in these Terms affects the client’s statutory consumer rights.

10

Confidentiality

Information shared during coaching will be treated as confidential and will not
normally be disclosed without the client’s permission.

Confidentiality may be broken where:

Disclosure is required by law or a court order

There is a serious and immediate concern about someone’s safety

There is a safeguarding concern involving a child or vulnerable person; or

The client has given permission for information to be shared.

The coach may discuss anonymised aspects of their work with a professional supervisor or adviser for quality, training or professional-support purposes. The client will not be identified.

11

Records and personal information

Personal information and coaching records will be stored and processed in accordance with the applicable privacy notice and data-protection law.

The privacy notice is available at: www.conorpatterson.com.

Coaching sessions will not be recorded unless both the client and coach have agreed to this beforehand.

12

Client responsibility and wellbeing

The client agrees to take responsibility for deciding whether coaching is suitable for them and for seeking appropriate professional help where needed.

The client should tell the coach if they are receiving treatment or support that may materially affect the coaching process. The coach may recommend pausing or ending coaching where another form of professional assistance would be more appropriate.

13

Complaints

Any concern or complaint should first be sent to info@satorievents.eu. The coach will aim to acknowledge the complaint within five working days and provide a substantive response within 14 working days, where reasonably possible.

Nothing in this clause limits the client’s legal rights.

14

Changes to these terms

Any significant change affecting an existing booking or package must be agreed with the client in writing. Updated terms may apply to future bookings but will not retrospectively remove rights already agreed.

15

Governing law

These terms are governed by the laws of England and Wales, unless mandatory consumer law requires otherwise.

The courts of England and Wales will have jurisdiction, although a consumer may also have the right to bring proceedings in the part of the United Kingdom in which they live.

16

Acceptance

By booking a session, making payment or signing below, the client confirms that they:

Have read and understood these Terms and Conditions

Have had the opportunity to raise questions

Understand the nature and limitations of coaching; and

Agree to be bound by these terms.
